I have an Excel document with a list of e-mail address. I know how to import these as individual contacts but I don’t need that. How can I import them as a new Distribution List instead? There are several ways to go here. One method is to import them as individual contacts first, create a distribution list out of them and then delete the individual contacts again.
However, there is a much quicker and direct method as well. Copy & Paste straight from Excel For this method, it is already sufficient if you have a column in Excel with just email address but having an additional column with names can make the list prettier. In Excel, select the addresses from the column containing the email addresses. Optionally, you can also select the column containing the names. In either case, make sure you do not select the row containing the headers. Press CTRL+C to copy the selected cells.
In Outlook, create a new Contact Group or Distribution List (the name depends on your version of Outlook). The keyboard shortcut for this is: CTRL+SHIFT+L. Open the Add Members dialog. Outlook 2003 and previous Click on the Select Members button.
Dec 13, 2018 - I'm using Outlook 2016 on a mac. I created Dist. Lists in Office 365, and I can't find them when I am creating a new email. If i'm on a PC i see.
Outlook 2007, Outlook 2010, Outlook 2013 and Outlook 2016 Click on the Add Members dropdown button and choose: From Outlook Contacts. Instead of selecting your members from your list of contacts, click in the text field next to the Members – button and press CTRL+V to paste the copied content from Excel. If done correctly, each address will be listed on its own line. Press OK to close the Select Members dialog and to return to your Contact Group. Provide a name for your Contact Group and save it. The final result is a Contact Group directly created from an Excel list.

. Make sure the Home ribbon is active and expanded in Outlook. Click New Items. Select More Items Contact Group from the menu that has appeared. Tips: You can also press Ctrl+Shift+L. In Outlook's People section, click New Contact Group or New Items Contact Group in the Home ribbon. Type the name of the distribution list under Name.
The list name is what you will use to address messages to the list. Click Save & Close in the Contact Group ribbon.
Tip: You can add members to the new group right away, of course; see just below. Go to People in Outlook. Find and double-click the group you want to share. Select Forward Group As an Outlook Contact from the Actions group on the Contact Group ribbon tab. Tip: The Outlook Contact format lets others using Outlook import the group very easily (see below). Note: You can also choose In Internet Format (vCard).
This will attach the group member's names and addresses in a simple text file, not vCard format. People not using Outlook may still be able to extract the addresses and rebuild the group, but it will not be a straight-forward process. Address the message to the person with whom you share the list. Click Send.
